Your payment processor is the company that handles the transaction between your customer's bank and yours. In Canada, your main options are:

- Square โ Easiest setup, free card reader, great for getting started quickly.
- Stripe โ Best for online businesses and developers.
- Shopify Payments โ If you're on Shopify, use this.
- Moneris โ Enterprise businesses needing Canadian bank-level support.
Step 2: Apply for a Merchant Account
A merchant account is the special bank account that holds your card payment funds before transferring to your regular business bank account. With modern processors, this is built in โ you don't apply for one separately.
What you'll need to apply:
- Business information: Legal business name, address, phone number
- Business type: Sole proprietor, corporation, partnership, etc.
- Tax ID: Your Business Number (BN) issued by CRA โ 9 digits
- Bank account details: For settlement (where funds get deposited)
- Personal ID: Driver's licence or passport (for sole proprietors and directors)
- Business description: What you sell, average transaction size, monthly volume
Approval times: Square and Stripe approve instantly (algorithmic). Helcim takes 1โ3 business days (human review). Moneris takes 3โ7 business days.
Step 3: Set Up Your Payment Hardware or Software
For In-Person Payments
You'll need a card reader or POS terminal:
- Square Reader: Free with new account. Connects via Bluetooth. Accepts tap, chip, swipe.
- Square Terminal: $399. Standalone device, built-in printer.
- Helcim Card Reader: $129. Bluetooth, works with iOS/Android.
- Helcim Smart Terminal: $329. Standalone, built-in printer, WiFi/LTE.
- Moneris Terminal: Included with rental plan (~$25โ$35/month).
All modern Canadian terminals support: Interac debit tap, Visa/Mastercard tap, chip-and-PIN, Apple Pay, and Google Pay.
For Online Payments
Options depend on your platform:
- Shopify: Enable Shopify Payments in your Shopify admin โ 5 minutes setup.
- WooCommerce: Install Helcim or Stripe plugin, enter your API keys.
- Custom website: Use Stripe's Checkout or Helcim's hosted payment page with no coding, or integrate via API.

Step 4: Understand Your Fees
Before processing your first payment, know exactly what you'll pay:
- Transaction rate: A percentage + flat fee per transaction (e.g., 2.6% or IC + 0.15% + $0.06)
- Monthly fee: $0 with Helcim/Square/Stripe, $24.95+ with Moneris
- Chargeback fee: $15โ$25 per dispute if a customer disputes a charge
- Refund handling: Most processors refund the flat fee but not the percentage on refunds

Step 5: Set Up PCI Compliance
Every business accepting cards must be PCI compliant. With modern processors, this is mostly automatic, but you'll typically need to:
- Complete an annual Self-Assessment Questionnaire (SAQ) โ 15โ20 minutes
- Ensure you're not storing raw card numbers anywhere
- Keep your POS software and hardware updated
